How to Run a Winter Tournament

Sarah Lettre (207)626-5680 to discuss a date for your event. Pick a couple of dates that would work for you. We just don’t want to have two tournaments that would detract from each other – we want your event to be as successful as possible.  www.wrightwaystables.com

Class List

Sarah will arrange for the mailing for your tournament. She needs GOOD DIRECTIONS to your facility.

Insurance

We get coverage from the UPHA national office. Sarah Lettre will take care of this for you.

 

Ribbons and Trophies

Sarah will order these and have them shipped to you or bring them with her.

 

People

A.        Announcer and PA system.

B.        Judge. Must be someone who teaches beginning riders. Please communicate with Sarah about who you would like to choose.  We will supply a list or recommendations so that someone appropriate will judge.

C.        Ringmaster. Must be someone who can deal with a runaway or misbehaving horse.

D.        Ribbon and Trophy person.

E.         Gate Person/Paddock Master. Lets everyone know what class is in and what class is next.

F.     Parking Director

 

Porta Potties

Please rent two even if you have a bathroom.

 

Food

Clients of the hosting facility provide food. Have your families cook and bring lunch. Plan on about 250 people. Have you clients bring:

            Coffee, Tea, Hot Chocolate

            Donuts

            Soup or chili – something hot. Crock-pots work well

            Hot dogs, Meatballs, sandwiches

            Desserts

Plates, spoons, forks, knives, cups, bowls, mustard, ketchup, relish, grated cheese, milk, sugar, salt & pepper, napkins, powdered drink mix or soda or juice, tablecloths, garbage   bags, pot holders, serving spoons, spatulas or ladles, extension cords, grill, coffee creamer, sweet&low.

 

            Try to set up so that people can be served quickly (from both sides of the tables).

 

Reimbursment

 UPHA Chapter 14 will reimburse the hosting facility up to $500 (with receipts)

DEMONSTRATION

This is a VITAL part of the tournament. We would like to introduce these people to the exciting world of showing horses. Choose one or two show horses who will look like fun, preferably with amateur or junior riders. This demo is done during the lunch break after most people have been served. If you cannot do the demo, find someone else who will do it. PLEASE do not skip the demo.
